OTC Medication Module

We are thrilled to let you know that we’ve added in an Over-The-Counter (OTC) Medication module into our application. What the heck is an OTC Medication module you ask? Well I’ll tell ya…

Many of our camps stock over-the-counter medications at their health center each summer? Things like Tylenol, Motrin, cough drops, or calamine lotion. These camps often require parent/guardian approval and/or approval by a healthcare provider for administration. In past years, we’d include these as standard yes/no questions in a camper’s health profile. This worked great, and you’d easily be able to filter for campers that were or were not allowed to receive a particular medication; however, these responses did not integrate throughout the rest of our application. So based on your feedback, we decided to create an OTC Medication Module to solve this problem. Here are the highlights…

Health Log Integration. One of the most frequent requests we’ve received over the last year was to integrate approved OTC medications into the health log. If your camp nurse is treating a camper and documenting the encounter in the Health Log, there is now an option to document OTC Medications the camper received. The Health Log will automatically populate with only the approved OTC medications for that camper, helping to add an additional safety check and also to improve efficiency in documentation.

List Builder and Reports Integration. Once you start using our new OTC module, you’ll have access to new filters for OTC medications in the List Builder and options for OTC Reports too. You can quickly get a list of all campers who are not approved to receive specific medications.

Healthcare Provider Authorizations. Families will still authorize medications as they normally would, but now if you require approval by a healthcare provider for administration, CampDoc.com will dynamically generate an authorization form that the parent/guardian can take for their doctor to sign and then re-upload into their account.

Updates to High Priority Notes

One more quick update to let you know that we’ve made a few changes to Notes!

When you add an internal note to a camper or staff profile, you can also document a Category and Priority. We’ve updated the way High Priority notes are displayed, to make sure they don’t get missed.

First, notes that are created with a High Priority, will be pinned to the top of the display, so they are always visible.

Second, if the Notes / Review section is collapsed, a red note icon will display to indicate that High Priority notes exist for the profile. Another change to make sure don’t miss anything.

Our camps use Notes for various reasons. Some like to document phone calls they have with parents. Some like to track red flags they find when reviewing a camper’s health form. Others like to document special activity requests for campers. Remember, Notes are not visible to families, and can only be viewed by Providers. You can upload Attachments to Notes and can also create custom Categories for your notes in Settings. However your organization uses Notes, we hope our changes to how High Priority Notes are displayed will help your day-to-day workflow!

Camp Medical Supplies from CampDoc.com Launched

We are excited to let you know that our camp medical supply service is now live!

We know that health and safety is your camp’s top priority. It is important to us too that you are adequately prepared to treat common illnesses and injuries and are ready for camper and staff emergencies each summer.

You can order everything from bandaids and thermometers, to crutches, stethoscopes and AEDs, directly through CampDoc.com. You can also order stock over-the-counter medications. There are no minimum orders, and you will receive discounted pricing without having to buy in bulk.

You can access the medical supply order form from your CampDoc.com account by clicking on the Medical Supplies link in the left menu.


Just email the completed order form to supplies@campdoc.com or fax it to 734.619.8301, and we’ll get your order processed right away.

Even if you place an order now, we can schedule shipments to arrive closer to the summer, and this can be requested on the order form. Also, if you don’t see an item on our order form, but would like us to get pricing for you, just let us know.

We are very excited to offer this new service, and make what has previously been a stressful item on your pre-summer to-do list, easy and cost-effective. We look forward to your feedback!

Multiple Language Support

We know that many camp participants speak different languages, and camp directors and camp nurses often struggle with language barriers when trying to capture accurate health information for these campers and staff. We are excited to announce that CampDoc.com can now be customized to support multiple languages!

With multilingual support you can now create and manage translations for all of the content in your health profile. Families will be able to toggle the language display when completing their health forms, reducing the risk of miscommunication.

Please contact your account manager if you are interested in adding multilingual support. We are very excited about this new feature, and hope that it will help improve the communication for multilingual camps!

We’re excited to announce that our first research study has been published, and Dr. Michael is a co-author!

Food Allergy Trends and Epinephrine Autoinjector Presence in Summer Camps was published in the Journal of Allergy and Clinical Immunology, and aimed to determine the prevalence of food allergies among campers; identify campers with co-morbid asthma, which puts them at higher risk of life-threatening anaphylaxis; and ascertain how many food-allergic children bring epinephrine auto-injectors with them to camp.

De-identified data provided by CampDoc.com, showed that nearly 3% of children who attend summer camp have food allergies, but only 40% of them have a prescribed epinephrine auto-injector with them.

CampGram Photos and Additional CampGram Improvements

We are excited to announce additional improvements to CampGrams for this upcoming summer!

Families can now attach photos to their CampGrams, making them even more personal for campers.

Please note that CampGram photos will be disabled by default. Camps must contact their account manager to activate CampGram photos. Printing photos will use more ink, so camps must request that this feature be enabled.

Each attached photo will cost one additional token.

Additional improvements include:

  • Token Sharing. Families can now share their CampGrams tokens with others, without providing access to a camper’s health profile.
  • Print by Cabin. Camps can now group their CampGrams by tagged cabins, making distribution even easier.
  • Pre-Load Tokens. Many camps have asked about purchasing tokens for their families, and you can now pre-load tokens into camper profiles (at an even greater discount).

DocNetwork Receives Ann Arbor SPARK FastTrack Awards

Bulk Tag Updates

For those of you who don’t use Tags, a quick summary to start:

Tags are miscellaneous pieces of data that can be attached to profiles and used for filtering and reports (e.g. Cabin, Bus Location, Graduation Year). You can add or remove tag categories by going to the Tags tab in Settings. You can then assign Tags to profiles!

Last month we released an update so you can now bulk update Tags. Just filter or select the profiles you want to update and go to the Update Tags menu in Power Tools!

Update Disposition for Health Log Entries

Once a Health Log entry has been submitted, it becomes a permanent part of the medical record, and you cannot make changes to that entry. If you’ve made an error or need to make a change to a health log entry after you’ve already submitted it, you will need to add an Addendum.

However, we know that sometimes the Disposition of the patient may change after the initial entry is submitted (e.g. a camper is initially Observed but is then Discharged once she is feeling better). Previously, most organizations would update this status change as an addendum, but this made filtering and reporting difficult.

We are excited to let you know that you can now update the Disposition for an entry after is has been submitted. Don’t worry, you are not altering the medical record by doing this, as the audit trail will track the change. You are simply adding a special type of addendum that will allow you to easily filter and report on the final Disposition status for every entry.

DocNetwork and the Community

School’s out and it’s finally summer camp season. Although your kids might be relaxing at home, DocNetwork sure isn’t. As an online electronic health records system for schools and camps we’ve been keeping busy, helping making last minute changes for camps, assisting parents with registrations, and stepping out into our community. Last week DocNetwork headed to Intermitten to explore the values that art and technology can add to our everyday lives and community. In addition to networking, our very own director, Dr. Michael Ambrose, got a chance to speak. As a physician and summer camp alumni, Dr. Michael saw, first hand, the disastrous disorganization of critical health information at camps.  In his speech, “Finding Opportunities in the Simple things,” he discussed using technology to improve the health and safety of children at schools and camps. His remarkable, yet realistic idea transformed into our current websites: CampDoc.com and SchoolDoc.com.

More recently, Ann Arbor’s Tech Trek just wrapped up this past Friday. With more than 2,000 attendees we saw a lot of new faces. Hosted in the Ann Arbor SPARK office we offered a coloring competition and photo booth stand for our trekkers. Kids enjoyed the coloring and the chance to dress up as a doctor, props provided by none other than Dr. Michael. Along with the photo booth kids had a chance to win an Amazon Echo Dot if they tweeted their creative artwork and pictures with the tag #DocNetwork. A big congratulations to John Richardson and family for winning this competition! Despite this being our first year at Tech Trek we were ecstatic with the number of job seekers, friendly faces, and eager learners. It proved to be a great opportunity for showcasing our product and we hope to be returning in future years!

As June comes to an end and and you begin packing your kids bags for a summer of fun, you can finally sit back and relax. With no more frustrating paperwork, attending summer camp has never been easier. At last, a sigh of relief, you know that all of your child’s health information is complete, secure, and in one place. Simplicity truly is perfection.

Financial Data in Custom Reports

Many of our camps that use our online registration system have asked about including financial data in their custom reports.  We are excited to let you know that this is now possible!

When you create a Custom Report, select the CSV format, and click on the Show Advanced Options link. You’ll then have the ability to include Account Balance, Payment Plans, Add-Ons and Coupons in your report.

An Interview with DocNetwork Director, Dr. Michael Ambrose

As a fast growing company, I had a lot of questions about DocNetwork. I recently had the opportunity to sit down with director, Dr. Michael Ambrose, and inquire about his inspirations, passions, and difficulties while starting this amazing business.


Where did it all begin? When did you start working on building this company and what were some of the initial actions you took?
The concept started when I was volunteering at a summer camp. Everything was on pen and paper and health forms were being put into a filing cabinet. It wasn’t uncommon for forms to be misread or get misplaced. I thought that there must be a better way to do it. I had some self taught computer programming and web development skills, so I approached the director of the camp and said if he was willing to invest in a few laptops for the camp, I would build him some software. Long story short, he agreed and so I spent my last year of college building the prototype. I took it to the camp that summer and it ended up working really well.

Where are your passions? How do you identify with camps, and how have camps been apart of your life?
I’ve gone to summer camp every year of my life since I was in first grade. My best friend’s mom was a pediatrician and volunteered as a camp doctor. I went to shadow her one summer and I was only supposed to stay for one week, but I was having such a good time I ended up staying all summer. It was a really cool experience to work in the healthcare field in a nontraditional setting, and I tried to look for a way to bridge camp and medicine. So in medical school, I had approached the dean and proposed a “wilderness pediatrics” rotation, which would allow me to go to camp for a month and work alongside camp doctors and nurses.

What were some of your initial hopes for DocNetwork; when you envisioned life as a startup founder – what was reality and what was different than you imagined?
I originally built the software to make my job easier and to help make the camp I was volunteering at more efficient. At first, it was just me on a laptop by myself, and it is amazing to see how much it has grown since then. I never imagined we’d be working with over one thousand camps and schools all over the country and that I’d have a team of 25 amazing people.

Did you encounter any difficulties during the process? How were you able to overcome them?
The biggest challenge for me was without a doubt balancing my medical education while growing my business. During residency I was working 80 hours a week in the hospital. For three years I would wake up at 5am to be at the hospital by 6am and work a 12 hour shift. I’d get home around 6:30pm, eat a quick dinner and then answer sales emails, support calls, and write code from 7pm until 1am. I did this day after day. In recent years it has been challenging to find the right team members that are as passionate, hardworking, and as motivated as I am. I’ve realized how important it is to surround yourself with passionate people.

How do you think your company has directly impacted the community? What’s the most important thing you’re working on right now?
Individual camps tell us how they used to lose their health forms or occasionally have medication errors, but since using CampDoc no longer experience these problems. It’s awesome to hear how our software has a direct impact on our customers.  We’ve recently teamed up with the University of Michigan to do medical research too.

Where do you wish to see the company in 5 or 10 years? What does success look like for this company?
That’s a really good question. What we’re doing here looks so different every six months. We are growing so fast and it’s so important to me that we maintain those close, personal relationships with our camps and schools. Communication internally and externally is so important for continued success.

What sets DocNetwork apart from its competitors? What advantages does this company have?
Our mission is to improve health and safety through technology, and there is no doubt that our mission aligns with the top priority for every camp and school: health and safety. This is undoubtedly what makes us different than any other company.

Do you believe in a completely paperless world? What do you believe are some of the benefits of going paperless?
I don’t believe in a completely paperless world, my to-do list is still on a pad of paper. But I think for things like health information and essential pieces of data that need to be accessed in emergencies, it is extremely important to have it at your fingertips. Especially with children, seconds or minutes can mean the difference between life or death.

What do you love most about what you do?
I love seeing the impact we’re having on our individual camps and schools. I smile when I hear the stories of how we are improving the lives of the camp director, the school nurse, and ultimately the health and safety of the children. I also love seeing our team members grow individually and professionally. Our Director of Operations started as an intern five years ago and is now leading and managing our amazing team, and overseeing the success of our camps and schools. What’s cooler than that? I had an idea, saw a need, and acted on it.

Do you have any advice for future startup companies?
If you believe in something, then do it. I think people make excuses all the time for why they shouldn’t try something. If you believe in it and think there is value in it, then it can’t hurt to try. Even if you fail, that’s okay. If you’re passionate about something, just do it.


Dr. Ambrose proves to be anything but ordinary. In the midst of the busiest time of his life, medical school and residency, he still managed to create groundbreaking software for camps and schools. His company has grown at exceptional rates, yet he has still maintained a tight-knit culture and close personal relationships with his customers. Dr. Ambrose’s motivation for constant improvement in his software and company truly shows his concerns for the health and safety of children while they are away at camp or school. While he followed a different path from a traditional medical career, he has found a way to bridge his two passions. As he said before, if you’re passionate about something, just do it.

CampDoc.com Site Visits

Earlier this summer we had a chance to step out of our office in Ann Arbor and visit some of our camps.  All of our team members, including our account managers, and those on our web team, support team, and sales team, had a chance to not only tour these camps, but sit down with camp directors and camp nurses to discuss their experience using CampDoc.com.

This summer we had the opportunity to visit the following camps:

  • Summer at Sacred Heart (Bloomfield Hills, MI)
  • Salvation Army Ray & Joan Kroc Corps Community Center (Grand Rapids, MI)
  • Tri-Cities YMCA (Grand Haven, MI)
  • YMCA MetroWest (Framingham, MA)
  • Brookline Recreation (Chestnut Hill, MA)
  • Wellesley Recreation (Wellesley, MA)
  • Girl Scouts of Ohio’s Heartland (Columbus, OH)

While we loved all of our visits, we wanted to share a few key points that our team took home!

Amy, Connor, Olivia, and Kris had a chance to visit Summer at Sacred Heart.  The camp director shared with us how stressful previous summers had been working with paper documents and how much smoother things are now that they use CampDoc.com. They found the list builder extremely helpful for reviewing all profiles and ensuring high compliance among their families. However, since they weren’t aware of saved and shared lists, our team was able to use this opportunity to provide onsite training on features this camp was not aware of.

In July, Thressa, Taina, and Corey drove to the west side of Michigan to visit the Salvation Army Ray & Joan Kroc Corps Community Center and the  Tri-Cities Family YMCA. Our team learned how both of these groups were eager to utilize more of our software’s features. The Salvation Army relied on our notification feature for sending mass emails and to send their weekly newsletters. We were also able provide tutorials on how to incorporate tags, notes, and reviews to reduce redundancy.  During our visit to the Tri-Cities YMCA, the camp director provided feedback on how beneficial CampDoc.com  has been for collecting the proper documentation required for campers before camp started. During the meeting we learned how this camp still prints many forms directly from CampDoc.com, and we were able to strategize with them on options to reduce paper usage in the future by saving reports.  We were happy to learn that both camps seemed very satisfied with how user friendly they found CampDoc.com!

Adam and Alex from our team were in Boston for a conference last month, and before they left were able to visit MetroWest YMCA.  After touring the camp and the nurse’s office, Adam and Alex reviewed our allergy and medication reports with camp staff and discussed how tags have improved some of their processes for aftercare and busing.  Our team also discovered that YMCA MetroWest was not using the CampDoc.com Health Log to it’s full potential, and did some quick training to help them track illnesses and injuries at camp.

Strategies for Overcoming Homesickness at Camp

The camp experience offers a nurturing environment away from distractions, and is a place to satisfy a child’s need for physical activity and creative expression. As a camp counselor myself, I’ve seen how just one week of camp can allow a child to grow as an individual. However, for many children, especially first-time campers, homesickness can creep in, and make having fun, sleeping, eating, and participating in camp activities problematic. Experts have studied homesickness, and research has shown that there are both at-home prevention strategies and in-camp interventions that parents and camp staff can use to help campers cope with homesickness. Studies have shown that homesickness is nearly universal for all campers, but that the vast majority of campers recover from homesickness relatively quickly when they are distracted by camp activities and engaged in the camp community.

In my experience, I’ve found certain strategies to be very effective for camp staff and parents helping campers through homesickness.

  • There’s no time for homesickness when campers are engaged in fun camp activities. A child who feels excluded is more likely to start thinking about home, so it is important to make sure that all campers are always participating in group events. As a camp counselor I also found that my campers experienced homesickness more frequently at night, making it important to keep campers busy throughout the entire day so they’re more likely to fall asleep quickly at night.
  • When homesickness does strike at night, I’ve found having fun bedtime routines to be helpful. As a counselor, we’d often play rose-bud-thorn with our campers, a group reflection activity where campers will share the highlight of their day (their rose), what they’re most looking forward to (their bud), and something they would change (their thorn). These activities help keep campers engaged and can prevent their minds from wandering to thoughts of home.
  • Writing letters to family and friends is a great method for reducing homesickness as well. Making this a group activity where campers brainstorm their favorite parts of camp when responding to letters from home can be very helpful too.
  • Leave the cell phones at home. I’ve found that it’s usually best to restrict campers from calling home unless it’s an absolute emergency.

I have seen firsthand how much receiving a message from home can positively impact a homesick camper. A seven year old camper in my cabin was away from home for the first time and experienced severe homesickness. My camp utilized CampGrams through CampDoc.com, a one way email service that allows parents to send messages to their camper while they are away. My camper’s parents sent him CampGrams during his week away, and he was ecstatic when he received emails from his mom and dad. Our camp administrator would print and distribute the CampGram messages to each cabin every day. Nothing will brighten a homesick camper’s day like an email or photo from home!

Homesickness is very common at summer camp, and counselors can expect to encounter a homesick camper more than once during a summer. I’ve worked with my fair share of homesick campers, and hope that some of my tips and tricks will be helpful to make sure that your campers safely enjoy their camp experience!

A Real Protection Plan Story

As the summer wraps up, the CampDoc.com team is working as hard as ever to make sure that campers and staff are as healthy and as safe as possible while they are away at camp.

Since the summer of 2015, CampDoc.com has offered a protection plan, and while we receive tons of great feedback on this service, earlier this month we received an email from Kathy, a parent who sends her daughter off to camp each summer in Boston. While most camps and families recognize the risks of going to camp and the benefits of a cost-effective protection plan, we often give rehearsed bullet points about the cancellation and interruption benefits and first payer coverage with no deductibles for emergency medical expenses.

Kathy’s email meant a lot to us, and with her permission, we wanted to share her message with you too. We figured it would be better to share a real story, from a real parent, than to hear an elevator pitch from us.

Thank you so much. That was so thoughtful and so intelligent. So kind. I was really beginning to think I would never find insurance to cover my daughter’s time at camp, and as someone who just scrapes by, the risk of having to pay just for an admission to an ER makes me worried. The last thing I want is for my daughter to feel that she shouldn’t go to camp because of such worries. Her two weeks at camp are the thing that she looks forward to all year.
